Past Orders from Your Previous System

Keep orders from the catering app you used before Puree on each customer, with their PDFs, without counting them as quotes, orders or revenue.

Moving to Puree from another catering app? Past orders keep a customer’s history from before Puree, with the order PDFs, on the customer’s page. They’re kept separate from your quotes and orders, so your history is there when a customer calls, without changing any of your figures.

What Past Orders Are

A past order is a short record of an event you catered before you used Puree: the event date, a description, the number of guests, the total, the app it came from, that app’s order number, and the order’s PDF.

It’s history, not an order. A past order is never counted as a quote, an order or revenue. It doesn’t appear in:

  • sales and order reports, dashboards or the calendar
  • kitchen reports, delivery dockets or run sheets
  • invoicing, or anything sent to Xero or QuickBooks
  • the customer’s Quotes / Orders list, their order count, or order search

Where to Find Them

Open a customer from CRM → View Customers and choose View. In Sections, choose Past orders. The section is named after the app most of your past orders came from, so it may read Past orders - FoodStorm.

You see the section once your account has at least one past order, for example after bringing them across with your AI assistant. To add them by hand before then, email email@puree.app and we’ll switch it on for your account.

Grouped by the App They Came From

Past orders are grouped under one heading per app, such as Past orders - FoodStorm and Past orders - CaterSoft. Under each heading, a line sums up that app’s orders: when the customer last ordered, how many past orders there are, and since when.

Each past order shows its date, description, guests, total and its old order number (Ref FS-1042), with its PDFs as download links. Within each heading the newest come first, and the heading with the most recent event comes first. The list shows 25 past orders to a page.

Names that differ only in capital letters, such as FoodStorm and foodstorm, are grouped together under the spelling used most often on your account.

Adding a Past Order

  1. On the customer’s Past orders, choose Add past order.
  2. Enter the Event date and a short Description, such as “Christmas party, canapés for 120”.
  3. Add the Guests and Total if you have them. The total is in your account’s currency.
  4. Source system is the app the order came from. It’s filled in with the app most of your past orders came from: change it if this one came from somewhere else.
  5. Reference is the order number in that app.
  6. Under PDFs, choose one or more PDF files, up to 25 MB each.
  7. Choose Save past order.

Each PDF is also added to the customer’s Documents, so it’s only stored once. Past orders and their PDFs are for your team only. Your customer only sees a PDF if you also attach it to one of their quotes.

A reference can only be used once for each app on your account. If a past order from that app already has the same reference, Puree tells you rather than adding it twice. This only works when the app’s name is spelt exactly the same way each time: FoodStorm and foodstorm count as two different apps here.

Editing a Past Order

Choose Edit beside the past order, change what you need and choose Save past order. You can add more PDFs, or tick Remove beside a PDF. A removed PDF leaves the customer’s Documents too, but can be restored from your documents library.

Deleting a Past Order

Choose Delete beside the past order and confirm. The past order itself can’t be brought back. Its PDFs leave the customer’s Documents too, but they can still be restored from your documents library.

An archived customer’s past orders are kept, and shown read-only. When you merge customers, past orders move to the customer you keep, along with their PDFs.

Use the app’s proper name, spelt the way its maker spells it (FoodStorm, not foodstorm), and the same way every time.
