Optional Extras

Gather info-only items your customer can add, such as a cheese board or a wine pairing, into one Optional Extras section at the end of the quote's menu.

Gather the things your customer can add (a cheese board, a wine pairing, a late-night snack) into one Optional Extras section at the end of the quote’s menu, so they read like a short list of extras rather than lines scattered through the menu.

What Is the Optional Extras Section?

The Optional Extras section is a list at the end of the quote’s menu for info-only items: lines the customer sees but isn’t charged for, with no quantity. A ticked line leaves its usual menu heading and joins the section instead. It’s never charged and never changes a package’s price, so the quote’s total stays the same.

Only info-only lines can go in the section. See Price on Application (P.O.A) for info-only items and P.O.A.

Adding an Item to the Section

  1. On the quote’s items page, add or edit an item to open the Add Item window. This works for catalogue items and one-off items (Custom Items & One-Off Packages).
  2. Switch on Info only.
  3. Tick Show in Optional Extras, which appears under Info only.
  4. Save the item, then save the items page.

The tick box only shows once Info only is on. Turning Info only off clears it, and the line goes back under its own heading as a normal priced line.

Extras Inside a Package

A package’s dishes can go in the section too:

  • On a quote: open the package on the items page and edit one of its dishes. Switch on Info only, then tick Show in Optional Extras. This also works for the items in a one-off package.
  • In the package itself: in Items → Packages, a fixed item that is info-only can be ticked Show in Optional Extras. Every quote you add the package to then starts with that dish in the section. A small badge on the fixed items card shows which dishes are ticked.

The dish leaves the package’s own block on the quote and appears in the Optional Extras section. The package’s price doesn’t change. See Packages.

Renaming the Section

The section is called “Optional Extras” unless you give it another name, such as “Add to Your Event” or “Extras”.

  • For every quote: go to Settings → Account Details and fill in Section name on quotes in the Optional Extras section panel. Leave it blank to keep “Optional Extras”.

  • For one quote: in the Add Item window or the package’s dish window, click Rename beside the Show in tick box. Type the new name, then press Enter or click away (Escape cancels). Every “Show in” label on the items page takes the new name straight away, and it’s saved when you save the items page. Clear the name to go back to the account’s name.

How It Looks on the Quote

The Optional Extras section on a quote, after the menu, showing an optional extra, a price and P.O.A

  • One section at the end of the menu. Every ticked line appears together under the section’s name, after the rest of the menu, whatever its category (a drink or a hire item can join too). On a quote with several deliveries it’s still one section, after every delivery’s menu.
  • A small › marker in place of the quantity, so the list reads like a brochure.
  • The price column says Optional extra. If the line has Show price on, it shows the price instead (“$12.00 each”), and a P.O.A line shows “P.O.A”.
  • Everywhere the customer looks: the standard quote, the PDF and every quote template show the section in their own style (Quote Templates).
  • Not in the Summary panel. The items page’s Summary panel has no Optional Extras block, and the section adds nothing to the total.
  • Empty means hidden. A quote with no ticked lines shows no Optional Extras section.

Like every info-only line, the ticked items stay off your dockets and reports.

Tips

  • Use the section for things the customer might add later, rather than a separate menu heading for them.
  • Turn on Show price for extras with a set price so the customer knows what to expect, or use P.O.A for extras you’ll price later.
  • To offer an upgrade with every quote, tick the dish in the package once and every new quote starts with it.
