Changing a Package on a Quote

Tailor a package once it is on a quote: swap or rename dishes, change quantities, drop a whole course or add extra items, without changing the package itself.

Tailor a package once it’s on a quote. Swap or rename dishes, change quantities, drop a whole course or add extra items, all without changing the package in your catalogue.

When to use it

Use it when a customer wants something the standard package doesn’t cover: two guests need a vegetarian main, they’d rather skip dessert, or they’d like one more dish. Every change applies to this quote only. The package itself, and every other quote that uses it, stays exactly as it was.

Open the package

  1. Edit the quote and go to Page 2, the items page.
  2. Open the package on the quote. The Update Package window shows the guest count, package name, price per guest, description and the package’s items, grouped into sections.

The Update Package window on a quote's items page: two Canapes sections marked not on this quote with Restore links, the Mains section open with two dishes selected, and an arrow pointing to a dish's Edit button

Edit a dish

Click Edit beside any dish. In the Edit Item window you can change:

  • The name. Under Chef docket name you can also give the kitchen a different name for it.
  • Dietary codes and allergens, so the labels on the quote and the chef docket stay right.
  • Quantity, and whether the customer sees it: untick Show quantity in customer quote to hide the count.
  • Menu Header, the heading the dish sits under on the customer’s quote.
  • Chef Note, special instructions for the kitchen.
  • Display in customer quote. Untick it to keep the line off the customer’s quote while the kitchen still makes it.

Click Save. The window reminds you that the item cost is included in the package price, so editing a dish never adds a separate charge.

The Edit Item window over the package: the dish name, Chef docket name, dietary and allergen ticks, an arrow pointing to the Quantity field with Show quantity in customer quote, then Delivery Time, Menu Header, Chef Note, Display in customer quote and the Remove button

To take a dish off this quote, click Remove in the same window. It stays in the list, crossed out, with a Restore link to bring it back. Removing a flexible choice clears that selection and can leave a slot still waiting for a pick, so if a customer wants none of a choice group, remove the whole section instead.

Remove a whole section

Every section in the package, such as Entree, Mains or Dessert, has a × on the right of its heading. Click it to take the whole section off this quote. It then reads not on this quote, with a Restore link if you change your mind.

A typical use: the customer wants something else instead of dessert. Remove Dessert, then add the replacement as an extra item.

Add extra items

If the package has Allow additional items switched on (in Items → Packages, on the package itself), an Add Extra Items section appears at the bottom of the window:

  • Search your catalogue in Search items to add to this package… to add an existing item, or
  • Click + Add one-off item to make a new item just for this quote. Choose its type (Menu, Beverage, Equipment or Misc) and a category.

Extras show an Extra label, with their own Edit button and a × to remove them. They’re included in the package price and don’t add a line charge of their own. The one exception is an option with a surcharge on an extra, which adds to the package total the same way it would on any other item. One-off items are covered in more detail on our Custom Items & One-Off Packages help page.

Quantities and the guest count

Each dish’s quantity normally follows the package’s guest count, so when the guest count changes, the quantities change with it. Two kinds of line don’t:

  • A quantity you set by hand. Type a figure different from the one the guest count works out, and that line keeps your figure from then on.
  • Extras. They have no per-guest rule to work from, so they keep the quantity you gave them.

If you change the guest count in the window, Puree lists every line that won’t change with it, marked set by hand or extra, so you can check each one before saving. To make a hand-set line follow the guest count again, type the calculated quantity back in.

Example: 30 guests on a three-course plated package, and two of them need a vegetarian main. Edit Herb Roasted Chicken and set its quantity to 28, then add 2 of a vegetarian dish as an extra. If the guest count later goes up to 32, both lines keep their figures, and the warning reminds you to check them.

Finish

Click Add to Order, or Update if the package was already on the quote, then save the quote.

Tips

  • Put allergy-critical instructions in the Chef Note, so the kitchen sees them on the docket.
  • Tick dietary codes and allergens on edited and one-off items, so the labels on the quote and the chef docket stay accurate.
  • Untick Show quantity in customer quote if you don’t want the customer to see per-dish counts.
